How to Create a Professional Email

Stop using @gmail.com for business. Create you@yourdomain.com. Go to cPanel > Email Accounts. Click + Create. Domain: Select your domain. Username: Enter prefix (e.g., info, support). Password: Generate a strong password. Click Create.

Setting up Email on iPhone (iOS)

1. Go to Settings > Mail > Accounts > Add Account. 2. Select Other > Add Mail Account. 3. Enter Name, Email, Password. 4. Select IMAP. 5. Host Name: mail.yourdomain.com (for both Incoming & Outgoing). 6. Username: Full email address.

Accessing Webmail

Check email from any browser, anywhere. URL: yourdomain.com/webmail Login: Full email address + password We recommend using Roundcube for its modern interface.

Outlook Setup (Windows)

Configure Outlook manually: Account Type: IMAP Incoming Server: mail.yourdomain.com (Port 993, SSL) Outgoing Server: mail.yourdomain.com (Port 465, SSL) Username: Full email address Ensure "My outgoing server requires authentication" is checked.

Fixing "Emails Going to Spam"

This is usually a DNS authentication issue. Go to cPanel > Email Deliverability. Check the status of your domain. If it says "Problems Exist", click Repair. This automatically fixes your SPF and DKIM records, verifying you as a legitimate sender.

Setting up Gmail (Fetch)

You can use Gmail as your interface. In Gmail, go to Settings > Accounts and Import. "Check mail from other accounts" > Add a mail account. Enter your email and choose POP3 (Gmail does not support IMAP fetch). POP Server: mail.yourdomain.com, Port 995, SSL.

IMAP vs POP3: Which to choose?

We strongly recommend IMAP. IMAP: Syncs email across all devices. If you read it on your phone, it is marked read on your PC. POP3: Downloads email to one device and deletes it from the server. Not good for modern multi-device use.

Sending Limits & Policy

To maintain high reputation and prevent blacklisting, we enforce limits. Max Emails per Hour: 500 Failed Logins: 5 attempts bans IP for 1 hour. If you need to send bulk newsletters, please use a service like Mailchimp or Brevo.

Email Storage Quota Full?

If your quota is full, incoming emails will bounce back to the sender. Solution 1: Delete old emails (check Trash and Spam folders). Solution 2: Go to Email Accounts > Manage and increase the storage allocated to that account.

Setting up Email Forwarders

Forward professional emails to your personal inbox automatically. Go to cPanel > Forwarders. Click Add Forwarder. Address to Forward: e.g., info Destination: e.g., yourname@gmail.com

Autoresponders (Vacation Message)

Send an automated reply when you are away. Go to cPanel > Autoresponders. Interval: Set to 24 hours (prevents loops). From: Your Name. Subject: Out of Office. Body: "I am away until..."

Using Track Delivery

Wondering if an email arrived? Go to cPanel > Track Delivery. Enter the recipient email. It will show if the email was Accepted, Queued, or Rejected (and why).

Spam Filters (SpamAssassin)

Reduce junk mail. Go to cPanel > Spam Filters. Toggle "Process New Emails and Mark as Spam". Spam Threshold: Default is 5. Lowering it (e.g., 4) makes it stricter but risks false positives.

Changing Email Passwords

Admin: Go to cPanel > Email Accounts > Manage > New Password. User: Log in to Webmail > Click User Icon (top right) > Password & Security.

Configuring Thunderbird

Thunderbird usually auto-detects our settings. If not, use Manual Config: IMAP Port: 993 (SSL/TLS) SMTP Port: 465 (SSL/TLS) Username: Full Email Address Authentication: Normal Password

Using Email Filters

Create rules to organize your inbox automatically. Go to cPanel > Global Email Filters. Example: If Subject contains "Invoice", Deliver to Folder "Finance".

Default Address (Catch-All)

A Catch-All captures emails sent to invalid addresses (e.g., typo@yourdomain.com). Warning: This collects a LOT of spam. We recommend leaving the Default Address set to "Discard with error".

Archive / Disk Usage for Email

You can archive old emails to save space without deleting them. Go to Webmail > Archive. Or use an email client like Outlook to "Archive to Local Folder", moving data off the server to your PC.

Syncing Calendar & Contacts

You can sync cPanel calendars with your phone using CalDAV. Log in to Webmail. Go to Settings > Calendars. Copy the "CalDAV URL". Add a new CalDAV account on your iPhone/Android using this URL.

BoxTrappers (Spam Verification)

BoxTrapper requires senders to verify their email before it reaches your inbox. While effective against spam, it can be annoying for legitimate clients. We recommend using SpamAssassin instead.
